Any moving company with annual turnover above ₹20 lakh is required to be GST registered. Ask for the GSTIN, then verify it yourself at gst.gov.in using the “Search Taxpayer” tool. Now the part that causes more arguments than anything else in this industry — why the bill says 18% and not 5%.

So when a mover quotes you 5% while sending four packers with bubble wrap and cartons, they are either mis-billing or not billing at all. Neither protects you.

One practical note for corporate transferees: if the invoice is raised in the company’s name for a work-related move, the business can usually claim input tax credit. Individuals cannot. If your employer is reimbursing, get the invoice details right before the move, not after.

Document 2: A Written, Itemised Quotation

An honest Gurgaon quote breaks the number into parts, and every part is either a rupee figure or the word included:

Get three to five quotes. Not because you should chase the cheapest — you shouldn’t — but because the outlier tells you something. When four companies land between ₹11,000 and ₹14,000 for the same 2BHK and one says ₹6,500, that ₹6,500 is not a discount. It is the price before the extras that will appear on your landing.

Most Gurgaon gated communities require a written no-objection certificate from the RWA before a goods vehicle is allowed on the premises — and you need it at both ends if you are moving society to society.

The realistic timeline:

  • 5 to 7 days before the move: submit the NOC application to the society office. Many societies take 2 to 3 working days to process it.
  • 48 to 72 hours before: book the service lift slot. High-demand towers on Golf Course Road and in the DLF phases can need longer, especially for a Saturday.
  • 24 hours before: register the truck number and the crew members’ ID details with security. DLF and most premium society gates will not let an unregistered commercial vehicle in.
  • Moving day: carry the physical gate pass if the society issues one.

Also confirm the permitted hours. Most Gurgaon societies allow goods vehicles only after 9 am, and a lot of them shut down heavy movement after 6 pm or during festival periods. If your crew reaches at 8:15 am and waits till 9, you are paying for that hour.

Document 5: The Transit Insurance Policy and Valuation Form

“Insurance included hai, sir” means nothing until you have seen the policy.

Transit insurance for household goods is written against a declared value. You fill a valuation form listing your major items and what they are worth. If you declare ₹3 lakh and a ₹90,000 refrigerator is destroyed, the claim is settled against that declared figure — not against what you think it should be worth.

What to check:

  • Is the policy in your name, with a policy number you can verify with the insurer?
  • What is the coverage type — all-risk, or transit-damage only?
  • What is the excess or deductible, and what is excluded? Owner-packed cartons are commonly excluded.
  • What is the claim window? Most policies require damage to be reported within a short period, often 7 days.
  • Premium and GST at 18% — shown as a line item, not folded invisibly into the total.

Real world: photograph every high-value item before packing, with the date visible. Screens, glass tops, marble, artwork. A claim with photographs settles. A claim without them argues.

Document 6: A Signed Inventory List – At Both Ends

Number every carton. Write what is in it. Get one copy signed by the crew lead at pickup, and sign the same list again at delivery after counting.

Sounds tedious. Takes twenty minutes. It is also the only way you will ever know that 43 cartons went in and 41 came out.

For a Gurgaon high-rise move where cartons travel through a service lift in ten or twelve cycles, an unnumbered load genuinely does lose boxes — usually the small ones, usually the ones with cables, chargers and documents.

Document 7: A Payment Receipt in the Company’s Name

The last one is the simplest and the most ignored.

  • A demand for full payment before loading
  • Money to a personal UPI ID or a personal savings account, when the invoice carries a company name
  • No receipt, or a receipt with no GSTIN

Pay to the entity named on the quotation. Get a receipt with the GSTIN on it. Keep the balance payable on delivery, after your inventory count. Money you have already paid is the only leverage you lose permanently.
